Guidelines for Organising an IOBC-WPRS Meeting (pdf, updated 27.07.2026)
This guideline provides practical guidance for organising an IOBC-WPRS meeting and is intended to help those who have never organised an international meeting before. Planning should begin approximately 12-18 months before the meeting, depending on its size and complexity. A suggested planning timeline is provided at the end of this document.
The roles and responsibilities for organising the meeting are structured as follows:
- Local Organiser: Logistics, contracts, local budget, sponsorships.
- Convenor: Scientific programme, announcements, and the IOBC-WPRS Bulletin.
- Liaison Officer: Represents the IOBC-WPRS Council and provides any kind of support on request. Supervises and assists in any elections during the meeting.
If questions arise, the Local Organiser should seek guidance from the Convenor and if the Convenor has questions, they should be addressed to the Liaison Officer.
